Travelia Safari - Terms and Conditions

1. Introduction & Booking Process

These General Terms and Conditions are an integral part of the travel contract. By signing this document or confirming a booking through the payment of a deposit, the Traveler acknowledges having read, understood, and accepted these terms in full.

- Customization: Itineraries can be customized upon request. Travelia Safari will provide a proposal within three (3) working days.
- Finalization: Once the itinerary is validated, the traveler must provide: full name, passport number, nationality, address, phone number, and proof of travel insurance at least 30 days prior to arrival in Madagascar.
- Amendments: No modification to these terms is valid unless confirmed in writing by an authorized representative of Travelia Safari.

2. Deposit & Payment Terms

To secure a booking, a non-refundable deposit of 30% of the total tour price is required. This deposit allows us to immediately guarantee availability with hotels and local service providers.

- Payment Methods: Bank Transfer, Credit Card (Visa/MasterCard), or PayPal.
- Transaction Fees: Payments via Credit Card or PayPal are subject to a 5% processing fee, which is non-refundable. Bank transfers do not incur additional fees from our side (though your local bank may charge you).
- Balance Payment: The remaining balance (70%) must be paid in full at least 30 days before the departure date. Failure to pay the balance on time entitles Travelia Safari to cancel the booking and retain the deposit.

3. Cancellation & Refund Policy

All cancellation requests must be submitted in writing (email or official letter). The date on which the written cancellation is received by our team determines which cancellation tier applies.

3.1 — Standard Cancellation & Refund Scale
Our refund scale is based exclusively on the amount already paid at the time of cancellation — not on the total tour price. Since most clients pay an initial deposit of 30% upon booking confirmation, the percentages below apply to whatever sum has actually been received by our company at the moment the cancellation is submitted.

  • More than 45 days before departure → 20% of amount paid is retained | 80% refunded
  • 45 to 30 days before departure → 40% of amount paid is retained | 60% refunded
  • 29 to 15 days before departure → 60% of amount paid is retained | 40% refunded
  • 14 to 7 days before departure → 80% of amount paid is retained | 20% refunded
  • Less than 7 days before departure → 100% of amount paid is retained | No refund

Practical Example :

Total tour price: €1,000 — Amount already paid: €300

  • Cancellation more than 45 days before departure: €60 retained → €240 refunded
  • Cancellation 45 to 30 days before departure: €120 retained → €180 refunded
  • Cancellation 29 to 15 days before departure: €180 retained → €120 refunded
  • Cancellation 14 to 7 days before departure: €240 retained → €60 refunded
  • Cancellation less than 7 days before departure: €300 retained → €0 refunded

⚠️ If additional payments have been made beyond the initial deposit, the same percentages apply to the total cumulative amount paid at the time of cancellation.

3.2 — Why Are Certain Amounts Non-Refundable?

A portion of the retained amount directly reflects costs already committed to on your behalf that cannot be recovered. Several of our partner hotels enforce a strict 100% non-refundable policy from the moment a reservation is confirmed, regardless of the reason or timing of cancellation.

These hotels include, but are not limited to:

  • Masoala Lodge
  • Andilana Beach
  • Diego Suarez area hotels
  • Palissandre
  • Vezo Beach
  • Baobab Café
  • Soleil des Tsingy
  • Relais du Kirindy

Once a booking is confirmed with these partners, the full accommodation cost is immediately due and irrecoverable. The retained amounts in our scale therefore reflect real financial commitments already made on your behalf — not penalties.

3.3 — Unused Services During the Tour

Once your tour has commenced, no refund will be issued for any unused services, including partially used hotel stays, missed activities, unused transfers, or any other included service not taken up — regardless of the reason.

3.4 — Tour Postponement & Credit for Future Travel (Private Tours Only)

If you have booked a private tour and need to postpone your departure, we offer a flexible alternative at no financial penalty. The full amount you have paid is converted into a Credit for Future Travel, held securely in your account and fully applicable to any future booking once your new dates are confirmed.

Key conditions:

  • Available exclusively for private tour bookings
  • No deduction, no penalty, and no administrative fee applied
  • Credit is valid for a maximum of 12 months from the date of the postponement request — any unused credit after this period will expire and cannot be recovered
  • We strongly encourage notification of postponement at least 7 days before the original departure date, to allow us to manage hotel and transport commitments effectively
  • Postponements notified with less than 7 days' notice will be handled on a best-effort basis — certain partner commitments already activated may limit our flexibility

⚠️ The Credit for Future Travel is non-transferable, cannot be exchanged for a cash refund once issued, and expires after 12 months if not utilised.

4. Visas & Entry Requirements

Obtaining a visa for Madagascar is mandatory for tourists. As of February 16, 2026, the following options and rates apply:

Two Options for Obtaining a Visa:

1. Online (e-Visa): Via the official website: https://evisamada-mg.com/en/home
2. Upon Arrival: At the airport. There are no restrictions for obtaining a visa on arrival as long as your passport is valid and the purpose of travel is tourism.

Visa Fees (Effective February 16, 2026): 
1 to 15 days => 30 EUR (35 USD)
16 to 30 days => 35 EUR (41 USD)
31 to 60 days => 40 EUR (47 USD)
61 to 90 days => 50 EUR (59 USD)

Note: It is the traveler's responsibility to ensure their passport is valid for at least six months beyond the date of departure.

5. Domestic Flights (Madagascar Airlines)

Domestic flights are not included in the base package.
- Liability: Travelia Safari is not responsible for flight delays, cancellations, or schedule changes. These are the sole responsibility of the airline. No compensation will be given for missed services due to airline performance.
- Refunds: Airline refunds can take up to three (3) months and are subject to airline-specific taxes and penalties.

6. Changes & Force Majeure

  • Client Changes: Any request for changes to the itinerary must be sent in writing. Additional costs will be charged to the client.
  • Force Majeure: No compensation will be provided for changes or cancellations caused by exceptional circumstances (natural disasters, strikes, social unrest, technical issues with Madagascar Airlines, etc.).

7. Local Conditions & Insurance

  • Accommodation Standards: While we select the best available options, infrastructures may differ from Western standards (availability of hot water, fans, or mosquito nets).
  • Mandatory Insurance: All participants must be covered by comprehensive travel insurance (medical, evacuation, and trip cancellation).
